SUBJECT: WARRANTY PARTS HANDLING - POLICIES & PROCEDURES
WARRANTY PARTS DISPOSITION
All parts replaced under warranty should be properly tagged and retained in an organized manner at your dealership.
The Warranty Bulletin WTY-11 lists those warranty parts which are in the mandatory return program. Your TEC acknowledgement of processed claims will indicate on a daily basis those parts which are to be returned to Yugo America. The balance should be binned according to a system using the last digit of the repair order, the chassis number, or a comparable system which will allow you easy identification and access to the parts.
Warranty parts which are held at the dealership should be retained for a minimum of 60 days from the date of the credit advice which shows that a particular claim has been credited to your dealership. During this period, your DPSM may request to inspect a particular part, or you may receive a telephone or electronic mail request to return the part to Yugo.
Warranty parts which are not listed on the mandatory return program and/or not requested to be inspected by your DPSM or returned to Yugo may be scrapped at the end of the 60-day period.
RETURNED PARTS
Bulletin WTY-11 lists those parts which are always required to be returned to Yugo. There will be other parts requested to be returned from time to time under the Quality Inspection Program. Requests for these parts will be made by electronic mail through your TEC System, by a warranty bulletin for a specific time period, or by your DPSM.
A bar-coded label will be produced for each mandatory return part or parts requested under the Quality Improvement Program. This label will be mailed to your dealership. The first series of the bar code represents your dealer number and the repair order number. The second series represents the actual part number requested for return.
Attach the bar code label to the backside of the Warranty Part Tag.
PACKING
Any warranty part containing fluid should be drained and returned in the original packaging, if possible.
Returned parts should be complete, including broken sections and associated gaskets and seals. Damage due to careless handling and packing on warranty parts may make analysis of the part more difficult. Missing or illegible tags or bar-code labels may render the parts unidentifiable. Either of these conditions, or failure to return a part, may cause delays or difficulties in verifying the legitimacy of a particular warranty claim and could result in a debit transaction.
SHIPPING
Parts should be shipped by the most economical available method. Shipments of up to 70 lbs. can be made via UPS. Shipments of over 70 lbs. should be made via truck. Identify each package with the warranty parts return shipping label #6240.
ALL WARRANTY PARTS SHOULD BE SHIPPED FREIGHT PREPAID.
The appropriate claiming and reimbursement procedures are contained in Bulletin WTY-08.
YUGO AMERICA DISPOSITION
All warranty parts received at Yugo will be recorded by scanning the bar-code label and/or reading the part tag information. Claims for non-defective, improper, or any non-returned parts will normally be debited 90 days after the payment date. Your request for return of non-defective or improper parts should be made within 10 days of the Yugo debit notification via TEC, attention Warranty Parts Return Center. These parts will be shipped to your dealership by the most economical method available, or scrapped 30 days from the debit date in the absence of your request.
